Booking a sales viewing

Modified on Fri, 16 Oct at 4:10 PM

You can book a viewing in a few taps, including for a buyer who isn't on Loop yet.

Booking a viewing

  1. On the Agenda tab, tap the blue + button.
  2. Under Appointments, tap Sales Viewing.

Book Viewing opens, with three steps: Select Property, Select Buyer and Select Date & Time. To go back a step, tap the back arrow.

Three step progress card

Step 1: Select Property

Type in Search Properties, then tap the property. Before you type, you'll see the properties you've looked at recently.

Step 2: Select Buyer

Type in Search Buyers, then tap the buyer.

If the buyer isn't on Loop yet, tap Quick Add New Buyer. See Adding a new buyer below.

Step 3: Select Date & Time

  1. Under Select Viewing Type, choose Accompanied or Unaccompanied.
  2. For an accompanied viewing, choose the Attending Agent. It's set to you to start with.
  3. Tap Select Date, or the calendar icon. You'll see that day's diary, so you can spot a free slot. Choose the date, then tap Save.
  4. Under Time, choose how long the viewing is: 15, 30 or 45 minutes, or 1 hour.
  5. Set the Start Time. The End Time follows from the length you chose.
  6. Tap Next.

Step 4: Send confirmations

Choose who to send a confirmation email to:

  • Buyer
  • Seller
  • Agent (accompanied viewings only)

Confirmations one greyed out

Nothing is ticked to start with. If Loop has no email address for someone, their tick box is greyed out, with a note such as no buyer email.

Tap Confirm & Save. You'll see Viewing appointment created! and go back to the Agenda.

Confirmations are sent by email only. Pocket doesn't send text messages.

Adding a new buyer

On the Select Buyer step, tap Quick Add New Buyer. If your search found nobody, tap Quick Add Buyer instead.

  1. Enter the buyer's Full Name. This is the only field you must fill in.
  2. Add their Phone Number and Email Address.
  3. To add more, tap Add More Details. You'll find four sections:
    • Buyer Details: title, more phone numbers and email addresses, contact memo, source, address, how they're happy to be contacted, and their marketing consents
    • Buying Requirements: price range, bedrooms, property types, areas and other requirements
    • Proceedability: financial position, reason for buying, selling position and mortgage position
    • Record Ownership: responsible agent and team
  4. Tap Save & Continue. You'll see New buyer has been added! and carry on with the booking.

Add buyer form short

Add buyer form expanded

Before you add someone, search for them first. Try their surname, phone number and email address. Pocket doesn't check for duplicates, so it's easy to create a second record for someone already on Loop.

Names: Pocket uses the first word as the first name and the second word as the surname. Anything after that isn't saved. If a buyer's name has more than two words, check it in Loop afterwards.

Consent: only mark consent as Given if the buyer has actually agreed. If you're not sure, leave it as Unknown.

Virtual viewings

New viewings booked this way can be accompanied or unaccompanied. To book a virtual viewing for a buyer who has already viewed, use Book Another Viewing on their viewing. See Managing a viewing.
