Booking a lettings viewing

Modified on Fri, 16 Oct at 4:10 PM

You need the Lettings role in Loop to book lettings viewings. If you can't see Lettings Viewing, ask your agency's Loop administrator.

Booking a viewing

  1. On the Agenda tab, tap the blue + button.
  2. Under Appointments, tap Lettings Viewing.

Book Lettings Viewing has three steps: Select Property, Select Renter and Select Date & Time. To go back a step, tap the back arrow.

Step 1: Select Property

Type in Search Properties, then tap the property. Before you type, you'll see the properties you've looked at recently.

Step 2: Select Renter

Type in Search Renters, then tap the renter.

If the renter isn't on Loop yet, tap Quick Add New Renter. See Adding a new renter below.

Step 3: Select Date & Time

  1. Under Select Viewing Type, choose Accompanied or Unaccompanied.
  2. For an accompanied viewing, choose the Attending Agent. It's set to you to start with.
  3. Tap Select Date, or the calendar icon. You'll see that day's diary, so you can spot a free slot. Choose the date, then tap Save.
  4. Under Time, choose how long the viewing is: 15, 30 or 45 minutes, or 1 hour.
  5. Set the Start Time.
  6. Tap Next.

Step 4: Send confirmations

Choose who to send a confirmation email to:

  • Landlord
  • Renter
  • Agent (accompanied viewings only)

Confirmations sheet

If Loop has no email address for someone, their tick box is greyed out, with a note such as no renter email.

Tap Confirm & Save.

Confirmations are sent by email only. Pocket doesn't send text messages.

If the property is tenanted: Pocket doesn't email the current tenant, even if you tick Tenant. Let the tenant know about the viewing yourself.

Adding a new renter

On the Select Renter step, tap Quick Add New Renter. If your search found nobody, tap Quick Add Renter instead.

  1. Enter the renter's Full Name. This is the only field you must fill in.
  2. Add their Phone Number and Email Address. Double-check the email address, because Pocket doesn't check it's in the right format.
  3. To add more, tap Add More Details. You'll find two sections:
    • Renter Details: first and last name, more contact details, address and marketing consents
    • Renting Requirements: maximum rent and how often it's paid, move-in date, bedrooms, bathrooms, reception rooms, rental type, furnishing, and whether they have children or pets, or are a sharer, smoker or student
  4. Save the renter. You'll see Renter created! and carry on with the booking.

Add renter form

Before you add someone, search for them first. Pocket doesn't check for duplicates.

Consent: only mark consent as Given if the renter has actually agreed.
