Email Templates

The Email Templates function allow you to customise the text and layout of every system generated email. Emails are also now saved to Notes & Activity.


Editing the Templates


How to Access


You can access the email templates by following the instructions below:

  1. Click on the Avatar in the top right of Loop
  2. Click on Settings
  3. Click Email Templates
  4. Select the Template that you would like to edit from the left hand navigation.


Merge Tags


Within the Subject Line and the Body of the Email Text you can add in merge tags that will pull data directly from the relevant areas of Loop. To edit the merge tags follow the instructions below:


  • Change a Merge Tag: Click on the Merge Tag highlighted in yellow that you wish to change then Click on the Placeholders button and choose the merge tag you would like to replace it with
  • Add a Merge Tag: Place the cursor where you would like the Merge Tag to be and choose the Merge Tag from the Placeholders Button
  • Move a Merge Tag: Click and Drag them around the text to the position you would like them to be
  • Delete a Merge Tag: Click on the Merge and Click Delete


Make sure you save any changes that are made in the templates. Failure to do so will result in the loss of the customised content if you click off the screen.


Preview your Changes


Once you have customised your template you can preview the changes either within Loop or by sending a preview email.

  • Preview in Loop: Click the Square Eye Icon on the top right hand side of the editing box.
  • Send a Preview Email: Click the Send Preview Email button next to the Save button. A box will appear to enter your email address. Click Send and a Preview Email will be sent to your Inbox. 

System Log


Every time Loop sends an email, the contents of the email are logged against the System Log, meaning you can see what was sent, when it was sent and to whom it was sent.


Furthermore, Loop tracks when the email was delivered and when the email was opened. The email tracking follows the same principle as WhatsApp: 

  • A single Grey tick means the email has been Sent
  • A single Green tick means the email has been Delivered
  • A green Tick means that the email has been opened
