How to Create and Use Document Templates in Loop Software

Introduction

This guide will walk you through how to create and use document templates in Loop Software. These templates can include tenancy agreements, valuation letters, and more. You will learn how to set up these templates and merge them with property records.


Creating a Document Template

  1. Access Settings

    • Click on your profile picture or avatar in the top-right corner.
    • Select Settings from the dropdown menu.
    • Navigate to CRM Document Templates.
  2. Add a New Document Template

    • Review the existing list of document templates.
    • Click Add New at the bottom to create a new template.
    • Enter the desired text and images into the document editor.
  3. Formatting Tips

    • When copying and pasting from Word, be mindful of formatting issues.
    • Use CTRL + SHIFT + V to paste text without formatting for better alignment.
  4. Insert Placeholders (Merge Tags)

    • To automatically populate the document with property data, use placeholders.
    • Click on Placeholdersand select fields such as:
      • Landlord Name Full for the landlord's full name.
      • Landlord Address for the contact address.
      • Contact Details for relevant communication information.
    • Customize placeholders to suit your needs.
  5. Save the Template

    • Name your template (e.g., "Test Tenancy").
    • Click Save to store the template in Loop Software.

Generating a Document from a Template

  1. Access the Property File

    • Navigate to the relevant tenancy record (e.g., a "Preparing Tenancy").
    • Click on the Documents tab.
  2. Create the Document

    • Find and select your saved template (e.g., "Test Tenancy").
    • Click Create to generate the document.
    • Loop will merge data (e.g., landlord name, address) into the document.
  3. Edit and Save

    • Review and edit the document as needed.
    • Click Save in the bottom-right corner to finalize.
  4. Download or Email the Document

    • Once saved, the document will be stored within Loop.
    • Select the document to Download or Email it directly.
