The Document Templates function allows you to fully customise the text and layout of each Document within Loop.
Editing the Templates
How to Access
- Click on the Avatar in the top right of Loop
- Click on Settings
- Click CRM Document Templates
- Select the Template that you would like to edit from the left hand navigation
Editing the Letter Template Content
- Navigate to the CRM Document Templates within Settings following the instructions above (How to access)
- Choose the document you wish to Edit from the Navigation Tree on the left hand side
- The Document will appear and you will be able to edit the content, similar to a word document
- You can Edit the Template Name by changing the text in the Template Name field
- Click Save
Merge Tags
All Merge Tags within the documents will be highlighted in yellow.
Loop offers an extensive list of Merge Tags to suit all letter types. To Change, Delete, Move or Add a Merge Tag follow the steps below:
- Change a Merge Tag: Click on the Merge Tag highlighted in yellow that you wish to change then Click on the Placeholders button and choose the merge tag you would like to replace it with
- Add a Merge Tag: Place the cursor where you would like the Merge Tag to be and choose the Merge Tag from the Placeholders Button
- Move a Merge Tag: Click and Drag them around the text to the position you would like them to be
- Delete a Merge Tag: Click on the Merge and Click Delete
Adding and Deleting Documents
Loop allows you to add as many Documents as you would like. You can do so by following steps below:
- Click on the area where you want to add a document in the CRM Document Template Settings. For example, 'Appraisals'
- Click 'Add New' which will be located at the bottom of the document list
- Add your content
- Click Save
To Delete a Document follow the steps below:
- Locate the Document you wish to delete within the CRM Document Settings
- Click Delete next to the Save Button in the top right hand corner
Creating Documents
There are a number of places that a document can be created within Loop:
- Buyer File
- Seller File
- Appraisals
- Offers
- Property File
- Viewings
- Sales (a tab within the property file which will appear when a property is under offer)
To Create a Document follow the steps below:
- Navigate to the relevant grid within Loop. For example, if you wanted to create a Memorandum of Sale, you would need to navigate to the Sales Tab within the Property File
- Choose a template from the dropdown
- Click Create
At this point the document is only a preview on screen. You letterhead will not show on the Document. It will only show if you click 'Preview' or 'Save'
- Click Preview, to download the PDF document to your PC. This is a great way to check all of the information is correct
- Click Save, to save the document within Loop. Once you have done this you will see it populate in the documents list.
If you are still seeing Merge Tags in the Document, for example, [BuyerAddressBlock], it is due to that information being incomplete in Loop. In this case, the Buyers address will need to be filled in on the Buyer File.
Deleting Documents
If a document has been created and you would like to delete it, you can do this by following the instructions below:
- Navigate to the Document you want to Delete
- Click on the Box to the left hand side of the Document Name
- Click the delete button which will now be highlighted
Uploading a Document
There may be times where you would want/need to upload a document to the system. You can upload documents to Loop following the steps below:
- Navigate to the relevant area within Loop. For example, if you would like to upload a document relating to the buyer, then you would navigate to the Buyer File
- Locate the Documents Tab
- Click Upload and a Modal will open
- Either Drag the Document you wish to upload into the Modal Or Click Browse which will open the documents within your PC
- Locate the Document you wish to Upload
- Click Open
- Once the Document has been uploaded it will show at the bottom of the Modal
- Click the X at the top of the modal and your Document will be in the Documents List
