Adding a task, call, meeting or custom appointment

Adding a task, call or meeting

  1. On the Agenda tab, tap the blue + button.
  2. Under Activities, choose Task, Call or Meeting.
  3. Fill in the details. Every field is optional.
  4. Tap Save.

When it's saved, you'll see New Activity added to Diary!

If it can't be saved, a red banner at the top tells you why. What you've entered stays in the form, so you can try again.

You can also add an activity from the Notes & Activities tab on a property, viewing, appraisal, enquiry or profile. It's then linked to that record automatically. See Notes and activities on a record.

Filling in the details

Activity Type: Task, Call or Meeting. You can change it here.

Activity Details: a title, for example "Chase solicitor". If you leave it blank, the type is used, such as "Call".

All Day: turn on for something without a set time.

Start and end: tap to set the date and time.

  • New activities start at 10:00 today and last 15 minutes.
  • Times go in 5-minute steps between 06:00 and 21:45.
  • When you change the start, the end moves to 15 minutes after it.

View agenda: shows that day's diary for everyone at your agency, with your new activity in place, so you can check for clashes.

Repeat Activity?: choose one of these:

OptionRepeats until
Does not repeatn/a
Daily360 days
Weekly on (day)52 weeks
Annually on (date)5 years
Every Weekday260 weekdays

Repeat options

You can't change the repeat pattern after saving, so get it right now. Repeats set up in Loop on your computer can run for up to three years, and Loop has more repeat options.

Reminders: choose when you'd like reminding, from 15 min before to 48 hours before. Then tick how you want the reminder:

  • Lobby Reminder: appears in Loop on the computer of the person the activity is assigned to.
  • Email Reminder: emailed to the person it's assigned to and to any other attendees.

Reminders lobby and email ticked

Reminders are only sent while the activity is still to do. If it's marked as done first, no reminder is sent. Pocket doesn't send reminders to your phone.

Note: tap Add a note, type your note, then tap Done.

Assigned to: who the activity belongs to. It's you unless you change it. You can't change this after saving.

Other Attendees: choose any colleagues who are also involved.

Linked to: link the activity to records in Loop so it appears on them. For example, link a call to the seller and the property.

  1. Tap the box and choose a record type, such as Seller or Sales Property.
  2. Type at least three characters to search.
  3. Choose the record and tap Save & Continue.
  4. Repeat to link more records. Tap the red cross to remove one.

Linked activity to search

The record types are:

  • Buyer, Seller, Sales Appraisal, Sales Property, Sales Viewing, Offer and Sale.
  • With the Lettings role, also Renter, Landlord, Lettings Appraisal, Lettings Property, Lettings Viewing, Lettings Application and Tenancy.

Mark as Done?: tick this to record something you've already done, such as a call you've just made.

Adding a custom appointment

If your agency has set up its own appointment types in Loop, they're listed under Custom Appointment Types when you tap +.

  1. Tap + and choose the appointment type.
  2. Under Appointment Details, give it a name.
  3. Set the date and time, or turn on All Day.
  4. Add Repeat Appointment?, a Note, Assigned to and Other Attendees if you need them.
  5. Tap Save.

Custom appointments don't have reminders, links to records or a done tick. Your Loop administrator sets up custom appointment types in Loop. You can't create new types in Pocket.

Tip: logging a call you've just made

Pocket doesn't record calls automatically. After a call, add a Call activity, link it to the person or property, add a note and tick Mark as Done?. Everyone in the office can then see it in Loop.
