Introduction

Hi everybody, Alex from the Loop Software Training Team here. This guide covers the Portal Autoresponder feature in Loop, explaining how to set it up, what it looks like, how it helps you, and how to use it effectively.

The Portal Autoresponder automatically responds to inquiries from platforms like Rightmove, Zoopla, and OnTheMarket. When an inquiry arrives in Loop, the autoresponder emails the applicant, asking for additional information. This operates 24/7, allowing you to pre-qualify applicants even outside of working hours.



Setting Up the Portal Autoresponder


1. **Accessing Settings**:

   - Click on your avatar or photo in the top right-hand corner of the screen.

   - Select "Settings" from the dropdown menu.


2. **Enabling the Autoresponder**:

   - In the settings menu, find and enable the Portal Autoresponder feature by switching the toggle to "on".

   - Set up the questions you want to include in the autoresponder.


Configuring Questions


1. **System Questions**:

   - Loop provides five default system questions that are typically asked during inquiries.

   - You can add custom questions to gather more specific information from applicants.


2. **Selecting Ping Partners**:

   - Choose a ping partner, such as a mortgage advisor or solicitor, to allow applicants to self-refer.

   - Add an introduction message tailored to your needs.


Autoresponder Email


Once an inquiry is received, the applicant gets an email to fill in additional information. This email is branded according to your settings and can be customized. The email directs applicants to a listing of the property they inquired about, making it easier for them to remember and provide relevant details.


Collecting and Utilizing Applicant Information


1. **Email Response**:

   - The applicant clicks a link in the email to fill in their information, including circumstances, price range, bedroom requirements, and additional comments.

   - This information helps you have more informed conversations with potential buyers.


2. **Viewing Responses in Loop**:

   - Applicant responses appear in Loop with a "flame" icon, indicating a qualified inquiry.

   - Detailed responses, including system questions and custom notes, are visible in the inquiry details.


Managing Inquiries


1. **Qualified Inquiries**:

   - Focus on inquiries with the "flame" icon, as these have provided detailed information.

   - Use the gathered data to have meaningful and efficient conversations with applicants.


2. **Custom Questions**:

   - Custom question responses are found in the notes and activity section of the inquiry.
