Matching - Match a Property to Buyers

Use Property Matching to keep your Buyers informed of properties that meet their requirements.  This feature is used for new instructions, price reductions and back on market events.


Here's a short video to show you how:



Match a Property to Buyers


Step 1: Set the Matching Range

  • Locate the Matching tab on the Property File
  • Click on the 'Match to Buyers' button
  • The first step is to set the criteria that Loop will use to find Buyers suited to the property
  • Loop applies a 'range tolerance' to the matching criteria to include Buyers that are 'slightly' outside the strict parameters of the property details
  • The Minimum & Maximum Price are set to be 15% either side of the Marketing Price of the Property
  • The Minimum & Maximum Bedrooms are set to be one less and one more of the Actual Bedrooms in the Property
  • By default, Loop will exclude Buyers who have previously been matched to the property.  Untick this option to send them the same property as before
  • By default, Loop will exclude Buyers who have a Sale Progressing.  Untick this option to send them a property other than the one they are buying
  • When you are ready to review your Buyer list, click on the 'Show Buyers' button


Too few Buyers?  You can widen the search to include more Buyers by adding more Property Types to the one that is used to classify the property.  For example, if the Property is listed as a Detached House and you add 'Semi Detached House' to the Property Types, this will find all Buyers looking for EITHER a Detached House or a Semi Detached House.


Too many Buyers? You can reduce the size of your search by being more specific with your search criteria. For example, choosing less Property Types, decreasing the margins on the Minimum and Maximum Price. You will see the number of Buyers start to reduce the more specific you are with your search.


Step 2: Review & Send

  • A list of Buyers will be shown with supporting profile information so you can review the suitability, if you wish, of each Buyer that matched to the property
  • By default, the Email option will be checked for all Buyers.  Untick any Buyers that you wish to exclude from the Match Email
  • The SMS option is unchecked for all Buyers.  Tick any Buyers that you wish to include on the Match Text Message
  • Email and SMS options will be disabled for those individuals who have opted out of these Communication Preferences under their GDPR settings
  • When you are ready to send the Property Match, click on the 'Send Matches' button


Depending on the size of the match, Loop will take a little time to process the sending of all emails and text messages.  You should expect all match messages to be delivered within a handful of minutes.


Step 3:


Once you have Matched the Property to potential buyers, it will appear in the History of the Matching Tab. From this screen you will be able to see all Matches that have been carried out and it will show the engagement levels for each Match. The engagement percentage is calculated by how many Buyers have opened the Matching email. For example, if you send Property details to four buyers and one opens the email, the engage level would show 25%.

You can click on each Matching event and this will open to show all Buyer to which the Property was sent. From here you can see 'Visits' to the microsite, whether a Buyer has previously viewed the property, any Requirement Notes that are on the Buyer file and also Book a Viewing for any of the Matched Buyers. 


Editing SMS Templates


Before you send your Matches via SMS you are able to edit the message that is send to the Buyers. You can do this 2 different ways.


Through the App Settings

  • Locate the App Settings by clicking on your Avatar in the top right-hand corner. Choose 'Settings' and then choose 'App Settings' from the drop down.
  • In the App Settings, locate 'Messaging Templates' from the navigation bar across the top of the page.
  • Scroll down and locate the template you wish to change. For Matching, you may wish to change one of the following:
    • Single Property Alert to All Buyers
    • Multiple Property Match to a Buyer
    • Single Property Match to a Buyer
  • Once you have located the Template you wish to change, click the Pen Icon. A text box will appear and you will be able to
    edit the text within the message
  • The Highlighted '{{ }}' are the merge tags and you can move, add or delete these
  • If you wish to add any merge tags, you can do so by clicking the arrow next to 'Placeholders' and choosing from the list
  • Once you are happy, click Save


Through the Matching Review

  • When you have Matched Buyers to Properties or Properties to Buyers you will be able to edit the SMS template before you send it.
  • An SMS preview will appear below your Matches and you can edit the Templates by clicking the Pen Icon. A text box will appear and you will be able to edit the text with in message.
  • The Highlighted '{{ }}' are the merge tags and you can move, add or delete these. If you wish to add any merge tags, you can do so by clicking the arrow next to 'Placeholders' and choosing from the list.
  • Once you are happy, click Save.
