1. Defining Landlord Entities
In Loop, a Landlord is defined as an entity that owns property, rather than an individual human being.

• Single Entity Landlord: An individual or group owning a single property.

• Portfolio Landlord: An entity (individual or joint ownership group) that owns more than one property.

• Multiple Entities for One Person: An individual can belong to multiple landlord entities.

• Example: If Mrs. Smith owns a property with her brother, that joint partnership is Landlord Entity A. If she also owns a property with her partner, that is Landlord Entity B. If Entity A owns multiple properties, Entity A is classified as a portfolio landlord.

2. Why Flag a Landlord as a Portfolio Landlord?
Configuring a landlord as a portfolio landlord in Loop unlocks key accounting capabilities:

1. Unified Portfolio Statements: Generate a single statement covering all properties owned by that landlord entity simultaneously.

2. Cross-Property Funds Transfer: Deduct expenses for one property using funds available from another property within the same portfolio (e.g., using rent collected from Flat 3 to pay for a gas safety check on Flat 1).

3. How to Configure Portfolio Settings
To manage statement structures and portfolio options:

1. Navigate to the Landlord Record in Loop.

2. Locate the Statements and Portfolio Management section.

3. Select the appropriate statement structure:

• Individual Statement per Property: Treats each property as an isolated accounting entity (ideal for landlords who prefer separate records for each property).

• Portfolio Statement: Generates a single, combined statement across all properties.

4. Set the statement schedule frequency:

• On-Demand: Triggered when rent is received.

• Scheduled Date: Automatically generated on a specific date (e.g., 1st of the month).

4. Managing Portfolio Statements in Client Accounting
Most day-to-day accounting management occurs in the Accounting tab:

• Once flagged as a portfolio landlord, the system displays Landlord Portfolio Statements.

• From this view, you can generate combined statements and manage income/expenditure for all associated properties at once.

• You can execute inter-property transfers directly within the accounting interface to cover cross-property expenses.
