How to Manage Property Inspections in Loop Software

Introduction

In this guide, we will cover the entire process of managing property inspections: booking them, completing them, giving feedback, uploading reports, and forwarding those reports to landlords.



Booking an Inspection


1. **Identify the Need for an Inspection:**

   - On your dashboard, look for the **Inspections to Book** button. If you don’t see it, navigate to **Management** and then **Inspections**.

   - You will see a list across the top with different statuses. Look for the status **Appointment Needed** indicating that an inspection needs to be booked.


2. **Book the Inspection:**

   - Click on the **Book Inspection** button.

   - Schedule the inspection by selecting the date and time (e.g., tomorrow at 3 PM).

   - Send email confirmations to tenants and landlords to notify them of the scheduled inspection.

   - Once booked, the inspection status will update to **Booked** and appear in your diary.


Completing the Inspection


1. **Perform the Inspection:**

   - On the scheduled date, conduct the inspection as planned.

   - After completing the inspection, return to the inspection entry in Loop Software.


2. **Update Inspection Status:**

   - Click on **Complete Inspection**.

   - Enter details such as who completed the inspection, provide a rating (e.g., cleanliness), and add any comments.

   - Set the date for the next inspection (e.g., in 3 or 6 months), which will schedule a future inspection in your diary.

   - Click **Complete** to finalize the inspection.


Uploading Inspection Reports


1. **Upload the Inspection Document:**

   - Click on the **Upload** button within the inspection entry.

   - Drag and drop the inspection report file or locate it on your computer.

   - The report will be uploaded directly into Loop Software.


2. **Send the Report to the Landlord:**

   - Select the uploaded inspection report.

   - Optionally, upload additional photos if necessary.

   - Click on the **Email** button.

   - The system will auto-fill the landlord’s email address and property address.

   - Compose a message (e.g., "Hi James, please find the links to the following attachments") and send the email.
