Title register alternatives

  • TR1 form, completion statement, mortgage statement dated in the last 3 months
  • If a property is unregistered meaning there is no title register online, we can accept the original paper deeds or conveyance document, or last resort is written confirmation from a solicitor - this is common for probate properties. The address on probate confirms residency, but NOT ownership.


Acceptable risk assessment / AML combinations

  • Risk assessment Low Risk + Verified Full Electronic Confirmation
  • Risk assessment Low Risk + Verified  Biometric Online ID Verifi cation
  • Risk assessment Medium Risk + Verified  Biometric Online ID Verifi cation
  • Risk assessment Medium Risk + Verified Full Electronic Confirmation + Photo ID
  • Risk assessment High Risk + Verified  Biometric Online ID Verifi cation
  • Risk assessment High Risk + Verified Full Electronic Confirmation + Photo ID + Proof of Address


Additional notes

  • All photo ID must be in date and valid - passport or driving license
  • All proof of address must be dated in last 3 months
  • AML check must have been completed within the past 6 months
  • An individual's risk assessment is required for each transaction
  • A company risk assessment is only required once


PEP alert

  • If a client has a PEP alert, you will need to download the AML document to view the listed potential matches, determine if any are your client and then mark the action required accordingly.
  • If they are a match - please send them this document to complete and upload to Movebutler


Homeowner passed away:

  • Death certificate AND will uploaded. OR probate if it has been granted
  • AML checks completed on ALL named executors
  • If there is a second owner on the title who previously passed away, we need a copy of their death certificate too please


Power of attorney selling:

  • Copy of the POA document
  • •If the document states the attorneys are appointed ‘jointly’ then we need AML and signed terms for ALL named attorneys
  • If the document states attorneys are appointed ‘jointly and severally’ then we just need due diligence for 1 of the named attorneys 
  • You would also ideally obtain photo ID and proof of address for the owner 
  • If there is a second owner on the title who previously passed away, we need a copy of their death certificate please


Company selling a property:

  • Company risk assessment completed on Movebutler*
  • AML on each Director with shares of 25% or more


Part exchange instructions / New Build developments:

  • We have pre-approved company risk assessment for some of the main developers and companies that you may work with so please ask Kyla if you are unsure
  • If the company isn't pre-approved, then please complete your own company risk assessment for them
  • Letter of instruction on headed paper from them clearly stating the transaction address, fee, owner info etc
  • Part exchange: download title register as normal


*How to do a company risk assessment on movebutler 

When adding a new client, you will need to select ‘company’ rather than individual, put in the info requested and save. On the next step (company file) there are some yes or no questions. Once answered, it will then ask you for written confirmation of the company details, you can upload the 'overview' and 'person with significant control' info from companies house. The company risk assessment will then be generated, and the file will show as complete. This does not send or charge anything to the client.


Auction listings

 

To list for sale:

  • Obtain the sellers AML checks and signed contract from iamsold/Bid/Pattisons
  • Download the title register on Movebutler 
  • If it’s a company – complete the risk assessment on Movebutler yourself
  • If its probate / POA etc – obtain the required documents

 

Upload everything to the property documents on loop and let Kyla or Abi once done so that we can enter an override code.

 

To mark as SSTC:

  • Obtain the buyers AML checks from iamsold/Bid/Pattisons
  • Obtain the ‘notification of sale’ document or reservation agreement from iamsold/Bid/Pattisons
  • If it’s a company – complete the risk assessment on Movebutler yourself

 

Upload everything to the offer documents on loop and let Kyla or Abi once done so that we can enter an override code.
