How to Book a Maintenance Job from the Compliance Tab

Introduction

In this guide, we will cover the process of booking a maintenance job for compliance tasks such as gas safety checks, Energy Performance Certificates (EPC), or Electrical Installation Condition Reports (EICR).




Booking Through the Compliance Tab


1. **Navigate to the Property Compliance Tab:**

   - Go to the property for which you need to book the maintenance job.

   - Select the **Compliance** tab.

   - Here, you may see some missing certificates.


2. **Initiate the Maintenance Job:**

   - Instead of using the normal maintenance job route, you can book the job directly through the compliance section.

   - Click on the option to **Add a Maintenance Job** within the compliance tab.


3. **Fill Out the Maintenance Job Form:**

   - The form is similar to the standard maintenance job booking form.

   - **Job Summary:** Provide a brief description of the job.

   - **Certificate Type:** Confirm if the job is attached to a certificate type (e.g., gas safety).

   - **Reported By:** Indicate who reported the job (e.g., landlord).

   - **Access Details:** Include any necessary access details (e.g., "New gas safety check needed").

   - **Quote:** If a quote is not needed (since you may already know the general cost), you can proceed without it.


4. **Linking the Job to Compliance:**

   - Once the contractor is instructed, the job will be linked to the compliance tab and the missing certificate.

   - This ensures your team is aware that a job has been booked and avoids duplicate bookings.


5. **Managing Certificates Upon Completion:**

   - When the certificate is received, mark it accordingly.

   - The system will prompt you to create a new certificate.

   - Enter details such as the expiry date, certificate number, and set a renewal reminder.

   - You can also update the contractor information if necessary.


6. **Submit and Update Compliance:**

   - Add the new certificate and submit.

   - The compliance tab will now be updated automatically, eliminating the need to re-upload documents.
