This guide will walk you through the process of adding a property and an existing tenancy in Loop, from start to finish. This is useful for migrating data from other software or uploading details for a tenancy you already manage.
1. Adding the Property
All properties in Loop begin as an appraisal. Since you're adding an already instructed property with an existing tenancy, you'll use the "Direct Instruction" option.
Start an Appraisal: Click the Quick Add Appraisal button at the top of the page.
Select Direct Instruction: Choose the Direct Instruction option for the appraisal type. This bypasses the valuation process.
Enter Property Details:
Start from the top and work your way down the form.
Enter the postcode and select the address.
Fill in the number of bedrooms, bathrooms, and receptions. While not all fields are mandatory, it's recommended to provide as much information as possible.
Add/Select Landlord:
If the landlord is new to Loop (e.g., during a migration), click Add New and fill in their details (name, address, GDPR preferences, etc.).
If the landlord is already in the system, search for and select them.
Enter Rent and Deposit:
Specify the rent amount for the property.
Enter the deposit amount (a calculator is available to assist you).
Indicate whether the property is managed or not.
You can also add fees if desired.
Proceed: Once all required information is entered, click the Proceed button at the bottom of the page. You may receive a warning if a phone number hasn't been entered, but you can still proceed.
Your property is now created and in a "pre-market" state. This means it's not live or visible on any portals yet.
2. Completing Property Details (Recommended)
To ensure the property is fully prepared for future use, it's highly recommended to complete all details, including photos and descriptions, even if it's currently under an existing tenancy. Loop will guide you with exclamation marks next to incomplete sections.
AML Checks: On the Details page, ensure you've completed your Anti-Money Laundering (AML) checks. This will clear the exclamation mark.
Media & Text: Navigate to the Media & Text page to add:
Descriptions: Enter your summary description and full description.
Photos: Upload property photos into the designated box.
3. Adding the Tenancy
Once your property is set up, you can proceed to add the tenancy.
Access Tenancies Tab: Go to the Tenancies tab within the property record.
Create Tenancy: Click the Create Tenancy button.
Enter Renter Information:
If the renter is new, click Add New and provide their details.
If the renter is already in your system, search for and select them.
Enter Tenancy Details:
Input the rent amount the tenant is paying.
Enter the deposit amount.
Specify the start date and end date of the tenancy.
Proceed: Click Proceed once all information is entered. Loop will default to not sending any confirmation emails.
Your tenancy is now successfully added!
