Creating and Sending Document Packs

Modified on Thu, 30 Oct at 10:41 AM

This video guides you on adding document templates and creating document packs in Loop, which is particularly useful for sending multiple documents for e-signing at once.

How to Enable eSign for a Single Document

If you have an individual document you'd like to make e-signable:
  1. Go to Settings > Document Management.
  2. Select the document you wish to enable.
  3. Click on Document Settings.
  4. Check the option to "Enable the document for e-sign".

How to Create a Document Pack

Document Packs are a powerful feature that lets you bundle multiple documents (e.g., a Tenancy Agreement, How to Rent Guide, and compliance certificates) and send them together in one simple package.

Steps to Create a New Pack:
  1. Navigate to the Packs tab.
  2. Click "Create a new pack".
  3. Give your pack a clear name (e.g., "Tenancy Pack").
  4. Select your documents from the different available sources:
    • Templated Documents: Your customized documents with merge tags (like a Tenancy Agreement).
    • Library: Your static documents (like the How to Rent Guide).
    • Certificates: Pull in compliance documents (like EPC, GAS, and EICR certificates) for the tenant to sign, confirming receipt.
  5. Once your documents are added, go to the Pack Settings tab.
  6. If your pack includes at least one e-signable document, you can configure the overall e-sign settings for the entire pack here.
  7. Click Save to finalize your document pack.

How to Send Your Documents for e-Signing
Once your documents or packs are set up, you're ready to send them:
  1. Navigate to the relevant record (e.g., a Tenancy, Property, etc.).
  2. Go to the Documents tab for that record.
  3. Click to create a document and select the relevant document or Document Pack.
  4. The system will now pull in and merge all the required documents.
  5. It will automatically check for merge errors and will prompt you for any missing data if applicable.
  6. Once the document pack is ready, you will see the compiled document. Review it, and then click "Send for e-Sign" to start the process.
