Key Logging Functionality:
- Diary Integration:
- Key status is displayed at the bottom of diary appointments, indicating which properties have keys and their current status (checked in/out).
- This provides instant visibility of key availability for upcoming viewings.
- Property Record Integration:
- A "Key Set Logging" system is available within each property record.
- Users can add new key sets, specifying the key set name, number of keys, and key types.
- Users can also add photos of the keys for visual reference.
- Key sets can be checked out to agents, contacts from the address book, buyers, or sellers.
- Users can specify the expected return date for checked-out keys.
- A "Recent Key Set Logs" feature allows users to review the history of key movements.
- Users can edit key sets, or permanently release them.
- Reporting:
- A dedicated "Key Management" report has been added to the reporting section.
- This report allows users to generate a list of active keys, showing their status (checked in/out).
- Users can schedule recurring appointments to review key movements using this report.
- Viewing Grid Integration:
- When viewing upcoming viewings in the viewing grid, the key movement is displayed on the right hand side.
Adding a Key Set:
- Open the Property Record:
- Navigate to and open the property record for which you want to add a key set.
- Access "Key Set Logging":
- Locate the "Key Set Logging" system at the bottom of the property record.
- Add a New Key Set:
- Click the "Add Key Set" button.
- Enter the key set name (e.g., JD11).
- Specify the number of keys and key types (e.g., 1 CH, 1 Yale).
- Add a photo of the keys (optional).
- Click save.
- Check Out Keys:
- Click the "Checkout" tab.
- Select the recipient (agent, contact, buyer, or seller).
- Enter the expected return date.
- Click "Checkout".
Key Management Report:
- Access the Reporting Section:
- Navigate to the reporting section of Loop.
- Select "Key Management" Report:
- Choose the "Key Management" report.
- Generate the Report:
- Generate the report to view active key movements.
