Registering a buyer in Loop is an essential step for managing your contacts and their property requirements. This article will guide you through the various ways to register a new buyer, the key information you should capture, and how to use the buyer form effectively.
Accessing the Buyer Registration Form
You can register a buyer in Loop in several ways, all of which will take you to the same standard buyer form.
From an Enquiry: If a person contacts you via a platform like Rightmove, Zoopla, or your website, they'll be in your inquiries. When you book a viewing with this person, they will automatically be registered as a buyer. You can also use the Convert to Buyer button.
From a Viewing: When you're managing viewings, you can register a buyer directly from that process.
Quick Add Button: The most direct way to open the buyer form is by clicking the Quick Add button at the top of the Loop dashboard.
Key Information to Capture
While the buyer registration form has many fields, there are a few that are mandatory or highly recommended to ensure you can effectively match them with properties and maintain good communication.
Contact Information
First Name & Surname: These are mandatory fields.
Mobile Number & Email Address: Highly recommended for all communication.
Source: This field helps you track where the buyer came from (e.g., website, Rightmove, walk-in).
Postcode: Capturing a buyer's postcode is a good practice, especially if you use Loop's prospecting tools, as it can help with marketing efforts.
Additional Buyer Details
Add Another Buyer: If multiple people are buying together, use the Add another buyer button to add their details.
Display Name: This is how the buyer will appear within your Loop system. For example, if you're working with a company, you might list the company name here.
Addressee: This is the name that will appear on any letters or correspondence you send. You can use this to address a specific contact person within a company, even if the Display Name is the company's name.
Property Requirements
Buyer Tags: These are custom tags that you can create in your settings to categorize buyers (e.g., "Investment," "First-Time Buyer").
Price & Bedrooms: These are the minimum requirements you should capture to enable property matching.
Match Areas & Property Types: Customize these fields in your settings. It's helpful to specify the areas and property types they're interested in.
Requirement Notes: Use this section to record any specific, detailed information the buyer provides about their ideal property, such as "needs space for two cars," "no stairs," or "large garden."
Proceedability and Position
These details are crucial for understanding a buyer's ability to complete a purchase.
Proceedability: Select the buyer's status (e.g., Cash, First-Time Buyer, On the Market).
Reason for Purchase: Understand why they are looking to buy.
Selling Position: If they have a property to sell, record their selling status, such as "on the market with another agent" or "under offer." This information can help you identify potential market appraisal opportunities.
Finalizing the Registration
Once you have filled out the form, click the Save button.
Saving the form will register the buyer, add them to your buyer list, and enable property matching. From here, you can manage their contact details, view their matches, and track their expiration status.
